Job Description

RESPONSIBILITIES:

  • Supervises the Registration Office including managing other clericals.
  • Provides support to the clericals in registration with enrolling students.
  • Examines documents, records and forms for accuracy, completeness and conformance to applicable laws and regulations, approves or rejects documents, searches for missing information to complete documents.
  • Approves the registration for all new students within the district.
  • Prepares all necessary paperwork and holds Residency Hearings.
  • Maintains and disseminates reports for district enrollment and attendance.
  • Maintains district-wide data management systems for testing and research purposes.
  • Compiles and verifies data to be submitted to local Regional Information Center at Eastern Suffolk BOCES for subsequent submission to the New York State Education Department (NYSED).
  • Investigates verification reports and determines student testing status in order to be in compliance with accountability requirements outlined by the No Child Left Behind Act/Every Student Succeeds Act.
  • Troubleshoots and resolves discrepancies for the 7,500+ students in the Patchogue-Medford School District, working closely with the Offices of Central Registration, Pupil Services, Food Services, and all Academic Directors.
  • Works closely with district administration and staff to optimize the district's data submission, including training administrators and staff in the necessary processes to submit their data accurately.
  • Works closely with district administration in the processing of the federally mandated Civil Rights Survey, including entry of the information into the Civil Rights application, as well as troubleshooting and correction of inaccurate data.
  • Assists the Test Coordinator for computer-based NYS Alternate Assessment testing as the technical liaison involving loading and editing user, enrollment, and roster data in the Education Portal, as well as exporting user, enrollment and roster reports from the Educator Portal; troubleshooting CSV files and uploads, and troubleshooting the Educator Portal.
  • Approves all withdrawals and transfers of students.
  • Plans, assigns, distributes, and evaluates the work of the clerical staff in the Registration Office under the direction of the Assistant Superintendent of Special Education and Pupil Services.
  • Trains employees; answers questions of subordinates requiring interpretation of rules and regulations.
  • Completes interview paperwork for Registration employees. Will participate in interviewing applicants with the Assistant Superintendent of Special Education and PPS.
  • Gathers data and provided information for reports by searching for and abstracting specialized or technical data from the student data system; interprets and explains laws, regulations, policies or procedures to subordinate staff and parents.
  • Sends materials and/or form letters related to registration; may compose letters and other correspondence independently. Approves correspondence created by subordinate clericals.
  • Sorts, codes, files and indexes correspondence forms, records, reports, documents or other material alphabetically, numerically, or by other predetermined classification which require detailed knowledge of the subject matter; may set up and maintain specialized filing systems; may design, revise and implement forms.
  • Additional staff data collection is necessary via nVision software. This includes the data submission of files for: Staff Snapshot, Staff Assignment, Staff Attendance, Staff Tenure, Staff Evaluation
  • Provide clerical support and report directly to the Assistant Superintendent of Special Education & Pupil Services.
Job Qualifications

QUALIFICATIONS REQUIRED:

  • Bachelor’s Degree from an accredited 4-year institution.
  • Must have strong communication, organizational and recording keeping skills.
